Erin and Kaushini bring together prospective, current and past students, parents, families and the community through a variety of events, in collaboration with different departments and associations. It’s also good to know payouts happen straight away after the event and that it’s not just sitting in the account.”

“The other thing we noticed was how easy it is to keep brand styling consistent across different events. There are so many different event organizers at the school who don’t necessary have the skills or time to create their own event branding. One of the jobs we contemplated was them sending their ticketing branding to us first and we go through it all, but that’s too time consuming with so many events. But Canva being built into the Humanitix platform has pretty much solved that problem. It’s a lot easier to adhere to the brand guidelines, using the seamless integration.”

“Since we rolled out Humanitix, we’ve been able to use seating maps for our dinners and musicals. For example, for our Valedictory Dinners we sold over 800 tickets, with 100 tables. Setting it up so that our Year 12s can select where they want to sit has made a big difference.”

What kind of events do you run at Carey Baptist Grammar School?

We run so many different events across departments and associations - fundraisers, musicals, alumni anniversary events, parent evenings, cocktail parties, Mother’s Day and Father’s Day events, sporting events… you name it!

We also run Open Days - these events are really high in demand, and when you open them up places go very quickly. Being able to run these through Humanitix and use the automated waitlist function has been a huge improvement - previously staff in the office were calling and managing a manual list and it took a lot of their time.

What are the perks of organising events?

Having Humanitix to do all the work behind-the-scenes and get the data we need takes a bit of the pressure off us. The perk is then getting to actually go to the event and meet some amazing people - including alumni like Tim Costello (former CEO of World Vision Australia), Peter Costello (the longest-serving Treasurer in Australia's history), and Hugh Evans (co-founder of The Oaktree Foundation and Global Citizen).

You get to meet some amazing parents as well and listen to their stories. These are people you build relationships with that you know can contribute back to the school, so you might invite them back to speak at an event. For example, we met a UN Human Rights Lawyer who works in Geneva at one of our events, and invited him to come back and talk to the students.

What advice do you have to other event hosts?

Map out what structure you want when setting up your accounts. At Carey we have 15 accounts on Humanitix, and another 7 to go with different levels of access. Think about how the account levels should work and who should see what.

I really like that I can just log into my account and see all the events that we are planning across the school, thanks to shared permissions. I’ve created accounts and given the details out to groups to use. Previously there were accounts set up that we didn’t have login details for, that were going into separate bank accounts that we didn’t know about, and financial balances that were just sitting in the account. Whereas setting it all up and consolidating everything in one place has been a massive advantage at Humanitix - it feels so much more organized and in control.

Any other final words of wisdom?

Just start - a lot of people I’ve been training were reluctant to learn a new system. But if you sit down with them and build the first event it’s so easy, self-explanatory, and the platform takes you through step by step. There’s a little button in the right hand corner where you can talk to someone live if you need someone to answer your questions as well.
